Privacy Policy

1. Who we are

Build Test Run LLC ("we", "us", "our") operates Elody, a 24/7 AI voice receptionist for phone-first and home-service businesses, at elody.ai (marketing) and app.elody.ai (the application). This policy describes how we collect, use, and protect your data, including information about your callers that we process on your behalf, and Google Calendar data if you connect a calendar.

2. What we collect

We collect the data you give us when you start a trial, create an account, or use the service:

• Account data. Your name, email address, and password.
• Business data. Business name, hours, services, service area, greeting, FAQs, escalation numbers, and other settings you enter.
• Call and caller data. Caller phone numbers, call recordings, transcripts, summaries, outcomes, and lead or appointment details captured when Elody answers a call for your business.
• Google Calendar data. If you connect Google Calendar: the list of calendars so you can pick one, busy times on that calendar, and the appointment events Elody creates there. See Google Calendar.
• Signup data. The email address you submit on elody.ai so we can send a login and help you get set up.
• Usage data. Server logs such as IP address, browser type, and pages requested. We use these to run and secure the service.

3. How we use your data

We use your data to:

• Log you in, answer and route calls, capture leads, take appointment requests, book appointments on the calendar you connect, and show your dashboard.
• Send call summaries and transcripts by email, plus password resets and product updates. Urgent calls may also be sent by SMS to the on-call number you provide.
• Send setup and product email if you asked us to contact you.
• See how the service is used so we can fix bugs and decide what to build next.

We do not sell or rent your personal or business data to anyone. If you connect Google Calendar, we use that data only to provide booking, as described below.

4. Google Calendar

Connecting Google Calendar is optional. When you do, Elody can check when you're free and put the appointment on the calendar you choose while the caller is still on the line. That is the only reason we ask Google for Calendar access. We do not ask for Gmail, Drive, or anything else.

When you connect, Elody can:

• See the names of your calendars so you can pick which one to use. Elody only uses the calendar you choose.
• See busy times on that calendar so it can offer open windows.
• Create the booking on that calendar (title, time, and the caller details from the call). If a booking changes, Elody may update or cancel that event. It cannot add, share, or delete calendars.

We keep a connection to your Google account (and the calendar you picked) so booking keeps working until you disconnect. We do not copy your whole calendar into Elody. Call records in Elody may include the appointment we booked.

We share Calendar data only as needed to run booking:

• Google, to read busy times and write the event.
• Fly.io, which hosts the Elody app and database, including the Google connection.
• OpenAI, which powers the conversation. We send conversation text so Elody can talk on the call. That text may include a time Elody is offering. We do not send your Google login, and Calendar data is not used to train AI models.
• Resend and Twilio, if we email or text you that an appointment was booked. They get what they need to deliver the message.

Cloudflare hosts elody.ai. It does not get your Calendar connection. We do not sell Calendar data, and we do not use it for ads. We do not read your calendar unless you ask for help, we are investigating a security issue, or the law requires it.

The use of information received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Elody does not use Google Workspace APIs or Google Calendar data to develop, improve, or train non-personalized AI or ML models. The voice receptionist uses AI to talk with callers. Calendar data is only used to check availability and book the visit.

You can disconnect Google Calendar in Elody or by emailing hello@elody.ai. We then drop the connection and stop accessing your calendar. Events already on Google Calendar stay there until you change them in Google. You can also ask us to delete your Elody account data, including the Google connection.

5. Caller data

You are our customer. People who call your business are your callers. We process caller information as your service provider, on your instructions, so Elody can answer the phone for you. You are responsible for telling callers about recording where the law requires it, and for any consent needed to text them. See our Terms of Service.

6. Third-party services

We use these services to run Elody:

• Google provides Calendar, if you connect it. See the Google Calendar section above and Google's privacy policy.
• Fly.io hosts the application and database at app.elody.ai.
• Cloudflare hosts elody.ai.
• Twilio provides phone numbers, call routing, recording, SMS, and speech-to-text / text-to-speech. Twilio receives caller numbers, call audio, and message content as needed to complete the call. See Twilio's privacy policy.
• OpenAI powers the conversation. We send conversation text (not raw call audio from our side) so Elody can respond. See OpenAI's privacy policy.
• ElevenLabs provides voices through Twilio's text-to-speech. Twilio sends the text to speak. See ElevenLabs' privacy policy.
• Resend delivers transactional and marketing-site email. Resend receives the recipient address and message content for delivery. See Resend's privacy policy.

We do not share your data with other third parties except as described in this policy or when required by law.

7. Cookies

The application uses a session cookie to keep you logged in. We do not use advertising cookies or build advertising profiles. We do not currently use analytics cookies.

8. Data retention and deletion

We keep your data for as long as your account is active. You can request export or deletion of your account data at any time. When you delete your account, we remove your data from the application. Backups may hold copies for up to 30 days as part of normal operations.

Signup emails are kept until you create an account or ask to be removed. If you connected Google Calendar, we keep that connection until you disconnect or delete your account. If you want your data removed sooner, contact us at hello@elody.ai.

9. Children's privacy

Elody is a business tool. It is not for children under 13 years of age. We do not knowingly collect data from children under 13. If you believe a child has given us personal data, contact us and we will delete it.

10. Security

Passwords are hashed, sessions are protected, data is encrypted in transit and at rest, and access requires authentication. Google Calendar connections are stored with your account. No method of storage or transmission on the internet is fully secure, and we cannot guarantee absolute security.

11. Your rights

You can access, correct, export, or delete your personal data at any time through your account settings. You can disconnect Google Calendar as described above. You can also contact us to make a request. We will respond within 30 days.

12. Changes to this policy

We may update this policy as the product changes. If we change how we use Google Calendar data, we will tell you. We will notify you of material changes by email or in-app notice. Your continued use after a change means you accept the updated policy.

13. Governing law

This policy is governed by the laws of the State of California, United States.
